45 hours of partner outreach, done in about 4.

A corporate housing company with nine furnished rentals needed its properties listed with dozens of relocation and housing partners. We built browser agents that do the form work, keep the tracker up to date, and stop for a person whenever a step needs one.

The problem

Nine properties. Fifty-odd forms each.

The client rents furnished homes, condos and a studio for mid-term stays, mostly to people relocating for work or displaced by insurance claims. The properties were already listed on Airbnb, Vrbo, Zillow and TurboTenant and managed through Hospitable.

The next step was getting in front of the companies that place those guests: relocation firms, insurance housing providers and corporate housing networks. There were 53 of them on the list, and almost every one has its own sign-up flow. Some want one form per property, some want a spreadsheet template, some charge a listing fee, and some have no online route at all.

Every form asks for the same facts in a slightly different way: rent, deposit, square footage, move-in date, pet fees, parking, cooling, flooring, whether there’s a walk-in shower. Done by hand, that is weeks of copy and paste, and the details drift out of sync between sites.

The partner list

Who places mid-term guests, and how each one takes listings.

The 53 partners fall into five groups. Each group finds guests differently, so each one wants the property details in a different shape.

What we built

A set of agents, one for each recurring job.

Each agent is a written, repeatable workflow that drives a real browser session. The client’s team starts one with a single command, and it picks up where the last run left off.

The one this page is about

Partner outreach

Reads the outreach tracker, picks the next unfinished partner, submits every property to it, then updates the row’s status, color and notes.

Listing

New listings from an intake form

Takes the owner’s property questionnaire and builds a full listing on Vrbo, Zillow Rental Manager or TurboTenant: rates, fees, rules, amenities, photos and showings. Read the case study

Photos

Photo sync and ordering

Adds, removes or replaces photos across every platform a property is on, and reorders galleries by room with the platform’s room labels.

Operations

Bulk property-manager changes

Applies one change across every property in Hospitable, like fixing checkout messages that had stopped sending or setting a platform-specific price markup.

Data

One source of truth

A single property sheet that every form pulls from, built by cross-checking each listing and its photos. Conflicts between platforms get flagged instead of copied.

Reporting

Client updates

Drafts a plain-language summary of what changed in a session, plus the questions that need the owner’s answer, ready to paste into an email.

How the outreach workflow runs

The agent does the typing. A person makes the calls.

  1. 01

    Pick the next partner

The agent opens the tracker, finds the highest-priority row that isn’t finished and reads its notes to see what’s still pending.

  2. 02

Check the route and the cost

It finds the partner’s submission path. If listing costs money, it skips the site and records why. If there’s no online route, it marks the row for email or phone outreach.

  3. 03

    Fill every form

It submits each of the nine properties from the shared property sheet, uploads photos and templates, and pastes descriptions with their formatting intact.

  4. 04

Hand off what needs a human

CAPTCHAs, verification codes, new accounts and anything that needs a missing fact go to a person. The agent pre-fills the form in a tab so it only needs a tick and a click.

    Human step
  5. 05

    Update the tracker

Each row gets a dated status, the list of properties submitted, any open items and a color: submitted, waiting on the partner, waiting on us, fee required or manual outreach.

Time saved

Where the 45 hours would have gone.

We estimated what a full round of partner outreach would take someone who already knows these platforms, doing it by hand. Then we checked how long it actually took.

WorkWhat it involvedBy hand
Per-property formsAbout 79 forms across nine partner sites, at 12–20 minutes each for lookups, uploads and confirmations18–24 h
Partner research53 partners: find the route, check for fees, sort and write a note for each9–13 h
Property dataMaster sheet for all nine, amenity checks on each listing, a pass through every photo set, resolving conflicts4–6 h

Spec sheetsA partner-ready property spreadsheet for email outreach and bulk requests2–3 h
Client questionsDrafting the questions for the owner, then applying the answers everywhere1–2 h
Listing fixesCorrections found along the way, like a missing pool and a wrong pet policy0.5–1 h
Estimate by handRange 40–55 hours~45 h
ActualMeasured from session logs, breaks removed~4 h

How we measured. “Actual” comes from the timestamps in the session logs for every session in that round of outreach. It counts the time the agent was working (2.9 hours) plus the time spent replying to it, answering questions or clearing CAPTCHAs (1.2 hours). Any pause longer than five minutes counts as a break and is left out. That works out to roughly 11× faster. Partner sites that need a new account and a verification step follow the same pattern: about 3.5 hours with the agents, measured the same way, against 10–15 by hand.

Guardrails

Fast, but never unsupervised.

  • No paid listings without a yes

Any partner that charges to list is skipped and flagged with its price. Commission-only partners and free tiers still go through.

  • A person handles identity

The agent never solves CAPTCHAs, never creates an account without asking first and never sends email on the client’s behalf.

  • Conflicts get flagged, not copied

When two sources disagreed, for example one listing showing no air conditioning while the photos showed a mini-split, the agent stopped and asked before submitting anything.

  • Everything is written down

Every submission is logged with its date, properties and open items, so the work can stop and restart across sessions without anything getting lost.
